Office KATA helps businesses identify repetitive administrative work and redesign those processes using automation. Like many businesses that rely heavily on networking, Office KATA regularly collects business cards from networking events, expos, chamber meetings, and other professional events.
Networking was generating valuable contacts, but every new business card also created another administrative task.
After an event, the information from each card needed to be manually reviewed and entered into the CRM. That meant reading the person’s name, company, phone number, email address, website, job title, and other available information, then creating or updating the appropriate record in Odoo.
For only one or two cards, the process was manageable. After a larger networking event, however, a stack of cards could quickly turn into a backlog.
The process also created several opportunities for problems:
The real value of collecting a business card is not the card itself. It is the relationship behind it. Office KATA wanted a process that moved contact information into the CRM quickly without adding another post-event data-entry chore.
Office KATA reviewed the business card intake process to identify repetitive work, unnecessary handoffs, duplicate data entry, and opportunities for automation. It is the same review we run for clients in a KATA Audit.

Automation Opportunity: High
Office KATA redesigned the process around one simple action:
Scan the business card and place it in a Google Drive folder.
Everything after that can be handled automatically.

Rather than building a complicated new application, the solution uses tools that already fit naturally into the workflow.
The user does not need to open the CRM and manually transcribe a card.
They simply place the document in the appropriate folder.
The automation handles the rest.
The redesigned process changes business card processing from a repetitive data entry task into a document drop workflow.
Instead of spending time entering contact information after every networking event, Office KATA can spend that time on the part of networking that actually matters: following up and building relationships.
The process also creates a foundation for additional automation.
Once the contact reaches Odoo, future versions of the workflow could automatically:
This project demonstrates an important principle behind Office KATA’s approach to automation:
The best automation often removes small tasks that happen repeatedly rather than trying to replace an entire business process.
It is also an example of Shift Human Right: automate the preparation so the first human step is the follow-up, not the typing.
Entering one business card into a CRM is not particularly difficult.
Entering dozens of them over the course of a year is repetitive work that provides very little business value.
By removing the transcription step, Office KATA turned:

The technology is important, but the real improvement is simpler:
Less time typing. More time building the relationship that earned the business card in the first place.
If you would rather skip the paper card entirely, see how to build a free digital business card with a QR code.
Automation does not always need to involve a massive software project.
Sometimes the opportunity is sitting in a stack of business cards on your desk.
Office KATA looks for the repetitive steps hiding inside everyday business processes, then finds practical ways to remove them while working with the tools the business already uses. If you have a similar process, KATA Implement builds automations like this around your existing tools.
Find the repetition. Refine the process. Automate the routine.
