What is this task really costing you?

Enter a repetitive task below to see the time and money on the table each year.

The task

Assumes 8-hour workday, 5-day work week, 52 weeks a year.
Few tasks hit 100% — leave room for review or exceptions.

How the Calculator Works

The calculator multiplies how long a task takes by how often it happens, then by the number of people who do it, to find the hours it uses each year. It multiplies those hours by the hourly pay rate to estimate the annual cost.

The estimated savings applies the share of that time automation could realistically remove. Few tasks can be fully automated, because someone usually still reviews the result or handles exceptions, so it starts at 90%. Lower it if the task involves a lot of judgment.

An Example

Say someone spends 15 minutes a day copying form submissions into a spreadsheet. Over 260 working days, that's 65 hours a year. At $22 an hour, the task costs about $1,430 a year for one person. If automation removed 90% of that work, it would save about $1,287 and 58.5 hours every year. Those hours go back to work that actually needs a person.

Small tasks add up fast. Run the numbers on two or three of your team's most repetitive tasks, and the total is often larger than expected.

What to Do With Your Result

The calculator shows what a task costs. It doesn't show how to fix it. That's what a free KATA Consult is for. We'll talk through the task and whether automation makes sense. If several processes are involved, a KATA Audit maps them and prioritizes the improvements with the biggest payoff.
